This article details the process for initiating and approving an order on the Welfare Services Resources website. The bishop, Relief Society president, and counselors in the bishopric can initiate Orders for Food and Supplies see Initiating an Order.
Bishops are responsible for approving orders see Approving an Order. To print a copy of the form, follow steps 1 through 3 outlined in the Initiating an Order section below.
If desired, click the Print language field and choose the language for the form. Then click Print. The printable file will be created and will be available in the downloads section of your browser window usually at the bottom.
To initiate an order, follow these steps: Click New Order at the top right of any page. Begin typing a name into the Recipient field, and members of the ward will appear. When creating an order for a non-member or a member whose records are not currently in the ward, click Recipient is not in this list in the drop-down list before typing in the Recipient field. The system will not attempt to match the name to members in the unit. Click x Cancel non-unit recipient to return to the standard Recipient field.
This should include visitors and non-family members, if applicable. Standard messaging rates apply. Click I will notify if you plan on notifying the recipient in person; in this case the system will not send a text message or email. If you are not going to prepare the order yourself, select a preparer to visit the family and prepare the order. The Relief Society president is selected by default, but anyone the bishop has authorized can prepare an order.
See the Settings Overview help article for instructions on managing the authorized list of preparers. You can enter or modify the notification options for the preparer as you initiate the order. If necessary, include any comments to the preparer or approver bishop and instructions to the storehouse and recipient. These comments and instructions will be added to the Comments history section.
Any special instructions for the storehouse staff or the recipient will be printed on the form that is used by the storehouse when the order is filled. By default, the order can be picked up from any storehouse.
Some storehouses deliver food orders in bulk to remote locations when units and members are distant from the storehouse. If you want to specify a location, select one from the drop-down menu. When all information is correctly entered, if you are not going to prepare the order yourself, click Assign to preparer.
The preparer will receive a notification with instructions to access the form. Once a preparer submits an order for approval, the bishop needs to review and approve the order.
He should review orders and communicate any problems to the preparer. Counselors in the bishopric can also approve orders as a contingency. Orders that are approved by counselors in lieu of the bishop must eventually also be reviewed and approved by the bishop. Click the link in the notification to open the order in your browser.
Or, find orders awaiting approval by going to the Orders tab see the Welfare Services Orders Overview help article. In the Orders tab, in the Orders in Process section, those orders that require approval will be highlighted and marked Needs approval. Review the order. To approve the order, click Approve at the bottom of the page. If you do not approve the requested items in the order, you can: Modify the order and click Approve.
Click Assign to preparer. Reject the order by clicking Delete and then OK. Once the order is approved, its status will change to Ready to be filled and the preparer and recipient will be notified. Orders that have been approved by a counselor will be listed in the Orders for Review section of the Orders tab. The bishop must review and approve each order in this list within 30 days, even though the orders may have already been filled. The bishop should discuss any issues about an order with the counselor who approved it.
The current status of the order is indicated in the first column of the list. The status values are defined as follows: Initiated: The order has been created and saved, but no preparer has been assigned and it is not ready for approval. Assigned for preparation: The order has been initiated and assigned to a preparer.
The assigned preparer should select the order, indicate item quantities in consultation with the recipient, and submit it for approval. Needs approval: The order has been prepared by the preparer and submitted to the bishop for his approval. The bishop should review the order.
Ready to be filled: The order has been prepared and approved by the bishop. The recipient can pick up the order at the storehouse, or if a delivery location was selected, the order will be delivered at the upcoming delivery time. In progress with storehouse: If no delivery location was selected, the recipient has checked in at the storehouse and the order is being filled or finalized. If a delivery location was selected, the order is in the process of being picked, loaded, delivered or finalized.
You can click on an order in this list to see the detail of the order, including the delivery location and time if delivery was selected.
